Privacy Policy

Ha Ha Hakuba (“we”, “us”, “our”) values your privacy. This policy explains what we collect when you use this website, why, who else sees it, and what you can ask us to do about it.
1. What we collect
Who you are. Your name, phone number, email address and the address we are delivering to. We use these to take the booking and to reach you about it.
What you booked and paid. Your orders, the amounts charged and paid, and the related transaction records. Card details are entered directly with our payment provider, Stripe — we never receive or store your card number, expiry date or security code.
Who the equipment is for. The name, age, height, weight, shoe size, activity and skill level of each person in your party. We need these to choose suitable equipment and to set ski binding release settings safely. This is the one part of a booking where being wrong can hurt somebody.
An emergency contact. The name and phone number of someone we can call if there is an accident on the mountain. This is information about another person — please make sure they are content for you to give it to us. We use it only in an emergency, and we hold nothing else about them.
Health information — we do not ask for it. Our booking form has no health or medical question, and we would rather you did not send us one. If you tell us something anyway, for instance while describing the equipment you need, it is stored with your booking, used only so our staff can fit your equipment safely, never used for marketing and never shared beyond the people fitting your gear. You can ask us to delete it at any time.
Technical information. Your IP address and basic details about your browser and device, from our server logs and from the spam check described in section 4.
2. Why we collect it
- To take your booking, choose and fit equipment safely, and set binding release settings
- To contact the person you nominate if there is an accident
- To take payment and issue receipts and statements
- To tell you about the status of your booking
- To keep the accounting and tax records the law requires
- To keep the site working and protect it from automated abuse
We do not send marketing email. Everything we send you is about a booking you have made.
3. How long we keep it
We keep a booking and its transaction records for as long as tax and accounting law requires. Where you ask us to remove your name from a child’s booking, the fitting measurements stay as an anonymous record — we have to keep what was rented and charged, and without a name attached they no longer identify anybody.
4. Who else sees it
We do not sell or rent your personal data, and we share it only where it is needed to run the service or where the law requires it.
Stripe — payments. Card payments are processed by Stripe, Inc. and its group companies. When you pay you are taken to a payment page hosted by Stripe and enter your card details there. Stripe receives your card details, the amount and your email address; we receive only confirmation that the payment succeeded, the amount, and a reference number. Stripe acts as a separate data controller under its own privacy policy and may transfer information outside Japan.
Cloudflare — spam protection. Our booking and account forms are checked by Cloudflare Turnstile, which confirms a form is being submitted by a person rather than a program. Your IP address and basic browser information are sent to Cloudflare, Inc., which handles them under its own privacy policy.
Email delivery. Our email is sent through a third-party delivery service, which processes the message and the address it is sent to in order to deliver it.
We do not currently use analytics or advertising. There is no Google Analytics, no advertising network and no tracking pixel on this site. If we introduce any, we will update this policy and our Cookies Policy before doing so.
5. Your saved card
When you pay, Stripe saves your card so that further payments on the same booking are quicker — the remaining balance, or an amount that falls due after your rental such as a late return or damage.
If you have an account with us, the payment page also offers a tick box to keep the card for future bookings. That box is optional and unticked by default: leave it alone and the card is used only for the booking you are paying for.
If you tick it, we keep a reference to the card — never the number itself — together with the date you agreed. You can remove it at any time from your account, which removes it from Stripe as well. We keep only one card, so saving a new one replaces and removes the old, and we remove a kept card automatically after 24 months with no bookings.
Nothing is ever charged without you completing a payment yourself.
6. Your rights
You may ask us to give you a copy of what we hold about you, correct it, or delete it. If you have an account, you can see and correct your details, choose which language we write to you in, and ask us to delete your account, from the account area of this site.
Two things limit deletion, and we would rather say so here than surprise you:
- If a booking of yours is still open — not yet paid for, or the equipment not yet returned — we need to finish or cancel it first. We will tell you when that applies.
- We keep the records of a completed transaction for as long as tax and accounting law requires.
7. Keeping it safe
We use reasonable technical and administrative measures to protect personal data against unauthorised access, disclosure, alteration and destruction, including encrypted connections to this site and access limited to staff who need it.
8. Cookies
This site sets only strictly necessary cookies. What each one does, how long it lasts and what breaks without it is set out in our Cookies Policy.
9. Children
This site is not intended for direct use by anyone under 18, and we do not open accounts for or take bookings directly from under-18s.
Adults do frequently book for children. Where you do, we collect that child’s name, age, height, weight, shoe size and skill level from you. We need those to choose suitable equipment and to set binding release settings safely, and we use them for nothing else.
The adult who made the booking can ask us to remove that child’s name; the fitting measurements stay on the booking as an anonymous record, for the reason given in section 3. If a person under 18 gives us personal information directly, without a parent or guardian, we will delete it.
10. Changes to this policy
We may update this policy. Updated versions are posted here with the date of revision.
